Pay Range: $19 – $21 per hour depending on experience

Summary Description:

The Office Coordinator is an important member of The Arc of Larimer County. This position will work collaboratively with the other staff members to continuously strengthen and improve the effectiveness of this chapter. The Administrative Assistant is responsible for customer service, data entry, maintaining inventories, assist in marketing chapter activities, supporting team members on a variety of projects and general office duties as assigned.

Essential Functions:

The essential functions of this job include the following job duties and responsibilities:

  • Performs general clerical duties: answer telephone, receive and direct clients and visitors, handle general requests for information, prepare and modify documents including correspondence, reports and e-mails as directed.
  • Maintaining office supply inventory
  • Maintenance of office equipment
  • Make copies of documents
  • Filing and office organization
  • Sending regular correspondence as needed
  • Support for meetings / trainings – preparation / set up / clean up
  • Assisting in organizing events as necessary
  • Data entry
  • Maintains office services by organizing office operations and procedures; sending out correspondence, invoices; maintaining filing systems; maintaining office supplies; monitoring clerical functions
  • Maintains spreadsheets for office organization
  • Keeps management informed by reviewing & submitting reports; summarizing information; ie: Volunteer work hours for the year
  • Perform general office procedures: Basic operational tasks, including answering phones, sorting mail, responding to outside inquiries etc.
  • Maintains professional and technical knowledge by attending educational workshops/trainings
  • Achieves financial objectives by paying invoices in a timely manner. Maintain financial files, prepare for delivery to accountant in a timely manner.
  • Research contractors as needed, seeking 3 sources, ei: snow shoveling, window washing, janitorial, translation/interpreting services
  • Gather and sort mail, distribute: Maintain “Address Return account” and stamp supply with USPS
  • Maintain auto insurance coverage for staff per worksheet. Request updates as insurance expires.
  • Contribute to team effort through support and encouragement of staff
  • Supporting, attending evening workshops as host/hostess as needed 2-3 times/year
  • Organizing and attending early morning and/or evening events.
  • Purchasing: Office supplies, flights for staff, hotel rooms for presenters
  • Will use own vehicle for office duties with federal mileage reimbursement
  • Other Duties as assigned

Qualifications

  • High school education or GED required; additional educational experience preferred

  • Strong organizational skills
  • Proficient use of computer and programs including; Word, Excel, Gmail, Mail Chimp, Publisher and Power Point
  • Knowledge of standard office equipment
  • Bilingual Spanish and English preferred

Work Environment and Physical Demands:

This job operates in a professional office environment. It requires the routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand; walk; sit at a desk, use hands to finger, handle or feel; and reach with hands and arms. The employee also must be able to lift and carry up to 30 pounds (e.g., props, training materials, etc.) when necessary to set-up for training/events whether onsite or offsite.
